Development and Communications Assistant
4 days a week

Reports to Interim Executive Director

No Longer Empty is seeking an administrative assistant with a focus on development and communications to join the core team in a lean, active office. This individual will work directly with the Interim Executive Director and the Manager of Communications and External Relations on a variety of functions that assure the smooth running of the organization’s operations; including the preparation, design and delivery of a broad range of information materials associated with No Longer Empty’s fundraising, exhibitions, and educational and public programs.

The work of the Development and Communications Assistant directly supports the visibility and awareness of No Longer Empty throughout many channels and media. No Longer Empty seeks a candidate with excellent writing skills and a knowledge of and experience within contemporary visual art and education – with the ability to work independently to maintain digital assets; support the production of communications content; research and prepare initial documents for grant applications; and other such administrative tasks required by the Interim Executive Director.

  • B.A in communications, communications design, graphic design, journalism or public relations is preferred
  • Fluency in Adobe Creative Suite; Microsoft Office; Adobe Acrobat; Google Suite
  • Well-versed using Web platforms, Web CMS, social media outlets, and excellent digital media skills (e.g., video, audio blogging, etc.)
  • Proficiency with technical communications tools, such as content management systems, email messaging, video shooting and editing
  • Excellent writing and editing skills for print and online media
  • Strong verbal and interpersonal skills with a high awareness of current events and trends affecting public opinion
  • Ability to work independently and collaboratively within a team structure
  • High attention to detail
  • Minimum of one year professional experience working in the arts
  • Database management experience
  • Copy editing experience a plus

Development and Communications Assistant primary duties include:

  • Supporting the preparation of written and visual materials for grant applications on deadline
  • Researching grant opportunities from both city, foundation and individual prospects
  • Supporting the design of print and digital media from concept to completion
  • Organizing and maintaining No Longer Empty’s digital assets: including updating the WordPress website; archiving files on Google Drive and Dropbox, and updating contact lists
  • Supporting the creation of social media content—including some original written posts, sourcing and editing of still images, and creation of animated gifs
  • Assisting in preparation of layout and images and text for monthly newsletters
  • Creating PowerPoint presentations
  • Maintaining the No Longer Empty internal master calendar and communications timelines to update and coordinate development, exhibitions, programming, education and communications tracks
  • Scheduling meetings; tracking RSVP’s; and general correspondences; and other basic office responsibilities
  • Maintaining and ordering office supplies
  • Maintaining an up-to-date office manual
  • Monitoring administrative email accounts
  • Preparing payment requests and routine financial paperwork
  • Assist with job and volunteer postings
  • Other duties as assigned
